Every project the club does or event it holds is important and for every one of these we want to succeed to its maximum potential. It is a strange thing, but this does not happen if we do not tell people about these club activities, yet it is so easy to do so.
 
So, for EVERY project and event, no matter how small or big, MUST go onto the club calendar in the website. There are two options depending on complexity that need to be done:
For club-only (internal) activities: “Calendar Items (Recurring)
 
Example is Committee Meetings or projects that only involve club members such as planting a school garden.

Does not have to be a “Recurring” event – use for single events as well. This is used to make available all necessary information about the activity readily available to everyone and can be linked to from elsewhere in the websites, from Facebook and from the bulletin plus included in club emails making spreading the word and boosting participation easy.
 
For projects and events involving anyone outside the club: “Event Planner”
 
Example is a project or event where members, their spouses/partners and family or members of the public can attend.

In this registrations of attendance can be taken on-line, reports produced,  volunteers accepted and tasks assigned.  It can even take online payments (when club does the set-up process for payments) and with the reporting the financials become easy.
 
This is used to make available all necessary information about the activity readily available to everyone and can be linked to from elsewhere in the websites, from Facebook and from the bulletin plus included in club emails amking spreading the word and boosting participation easy.
 
An important point is there is a ‘radio’ button Yes or No as to whether to add to the district calendar – ALWAYS say 'Yes'.  This enables the District Newsletter Editor to see and include your event as appropriate, same for the website and social media plus those who might like to participate in the activity.
 
For much more complex projects: “MyEventRunner”
 
We will worry about this only if we run a large event requiring this complexity although not hard to learn.
 
Ideally, every club committee will have someone who takes charge of setting these calendar items up so Colin Robinson (021652801) can help and / or do for you. Set these up as soon as the project or event has been confirmed as happening and a date has been set as fine details can follow.
